Job Description
The Executive Personal Assistant shall perform all business tasks which are required to perform by the Director, including, but not limited to those stated below, with the goal of enabling the Director, if required and subject to spare capacity of the Executive Personal Assistant, other team members of the Board to make the most efficient use of time:
Organizational & Administrative Tasks:
• Organizing the Director’s work, work engagements and work environment.
• Screening and assessing the incoming communication, executing the tasks which are within the capabilities of the Executive Personal Assistant, passing on tasks that can be executed by other Board members to them and following up on their execution; categorizing the remaining tasks for the Director.
• Alerting the Director to important and urgent matters.
• Carrying out certain administrative duties of the Director in particular in relation to Directorships andKeyOfficial/Compliancemattersofbusiness,includingoverseeing, followingupandpreparingcompliancereportsandsubmissionsina timelymanneras may be required.
• Preparing and formatting documents.
• Proof reading and translating publications by the Director .
• Preparing standard reports and budgets.
• Assisting in preparation of submission agendas for meetings in which the Director participates
• Keeping the Directors Diary up-to date.
• Making all travel arrangements, including for flights, accommodation, transport for pick up
and drop off and other particular requirements.
• Ensuring that all details regarding flight and hotel information are correctly inserted in the respective diary.
• Making arrangements in connection with conferences to be attended by the Director ensuring that all information has been inserted in the diary accurately and timely.• Cross-checking and ensuring that the Director is aware of the appointments, especially when travel arrangements are concerned keeping records of bookings made with relevant details
• Alerting clients and/or team member of the cancellation of meetings as well as new rescheduled timings.

Project / Event Management:
• Managing events or projects as and when required .
• Supporting the company's efforts to establish coherent and consistent records
management systems.
